Maintenance Office Coordinator – Dispatching/Invoicing/Parts

Full-time/Hourly/non-exempt position; pay rate: $15.75 - $16.00 per hour (depending on skills/experience)

Vanguard Resources Inc. (VRI), an Industry Leader in Facilities Management, (providing maintenance, housekeeping, dietary, security, grounds keeping, & other services), celebrating 28 years in operation, (AND still family-owned & operated), is actively recruiting for an hourly, non-exempt, full-time Maintenance Office Coordinator to assist and support our team with maintenance dispatching/calls, invoicing/data entry, parts ordering, transporting, researching, inventory; assists with work order system, as well as other task/projects at our Client facility, on far west side of San Antonio, Texas. MUST possess a valid driver's license and have a clean driving record, as this position requires driving on behalf of the company; back and forth from campus to campus!

Important: Influenza vaccine is required at these facilities during peak flu season.

Typical work schedule: Monday – Friday; Day shift: 8:00 a.m. - 4:30 p.m.

60% Dispatching duties: With a warm and welcoming demeanor, Coordinator will take calls, texts, emails of which could come from leadership, our client and residents, then updates the work order system with maintenance requests. Coordinator assigns work orders to Maintenance Technicians, follows up, and maintains system on work order status, completion/close-out.

  • Dispatch techs properly with constant communication
  • Monitor work order progress, and communicate updates effectively
  • Maintain positive and encouraging relations with techs and customers
  • Keep work order system, and all other communication tools updated
  • Provide effective customer service
  • Effectively communicate timely and accurate information to maintenance techs, dispatch team, and property management staff
  • Establish positive relations with key contacts in other departments

25%: Inventory & Parts – ordering, receiving, transporting, researching.

  • Tracks status of parts ordered and contacts vendors by phone and email as required
  • Identify frequently used parts, place parts orders, track orders, stock parts
  • Maintain inventory level records with accuracy
  • Coordinator will manage and stock an inventory of frequently used parts for company trucking operations
  • This includes identifying frequently used parts and maintaining adequate stock of such parts
  • Responsible for ordering and tracking parts requested by maintenance

10% Invoice data-entry/reconciliation

  • Reconciles packaging slips/invoice to products/parts received
  • Data enters all invoice information into system efficiently and accurately

5%: Team/Admin support as needed

  • Performs other duties as assigned to support the efficient operation of the department

  • Ability to learn new processes and new technology.

  • Ability to multitask, yet focus with routine interruptions.
  • Pleasant, customer focused demeanor required.
  • Prefer someone with ability to follow instructions, follow-up routinely on open action items & possess desire to own and/or improve assigned work and responsibilities.
  • MUST be flexible & adaptable to change and take on new challenges
